Terms of Service

1. Acceptance of Terms
By accessing or using Libraryminds, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services.
2. Description of Service
Libraryminds provides AI-powered transcription and knowledge-management services. These include — but are not limited to — transcription of audio, video, and meeting recordings; AI summarisation, translation, and Q&A; semantic search across your content library; Chrome extension-based transcription; YouTube channel and podcast RSS subscriptions; blog and article feed imports; document and EPUB processing; image OCR; AI Meeting Bot for Zoom, Google Meet, and Microsoft Teams; business team workspaces; a developer REST API; and the Ingest API, which automation tools such as Zapier can call through HTTP steps.
We offer various subscription plans with different feature sets and usage limits. Specific features are gated by plan tier as described on our Pricing page.
3. User Accounts
To use our services, you must:
- Be at least 18 years old or have parental consent
- Provide accurate and complete registration information
- Maintain the security of your account credentials and API keys
- Notify us immediately of any unauthorised use of your account
4. Acceptable Use
You agree not to:
- Upload or submit content that violates any applicable laws or third-party rights
- Use the service for any illegal or unauthorised purpose
- Attempt to reverse-engineer, scrape, or compromise our systems or infrastructure
- Share your account credentials or API keys with others, or resell access to our services
- Record meetings or calls without the legally required consent of all participants (see Section 5 below)
- Use AI-generated content from our service to deceive, defame, harass, or impersonate others
- Submit content that contains malware, exploits, or harmful code
5. Meeting Recording & Consent Obligations
When you use the AI Meeting Bot to record and transcribe meetings, you acknowledge that:
- Laws governing the recording of conversations vary by country, state, and region. Some jurisdictions require the consent of all participants before a recording may be made.
- You are solely responsible for ensuring you have obtained all necessary consents and permissions from every meeting participant before deploying the Meeting Bot.
- The Meeting Bot identifies itself visibly in the meeting and posts a notice in the meeting chat — but this does not substitute for your legal obligation to obtain consent where required.
- Libraryminds bears no liability for your failure to comply with applicable recording consent laws or for any claims arising from participant recordings.
6. API, Webhooks, and Automation Use
Access to the Libraryminds REST API is available to all plan tiers. The Ingest API is available on Pro plans and above, including when it is called from automation tools such as Zapier. By using any API or automation capability, you agree to:
- Keep your API keys confidential; never expose them in client-side code or public repositories
- Respect the published rate limits (60 requests per minute per key); automated circumvention of rate limits is prohibited
- Not use the API to submit content that would violate these Terms if submitted through the web interface
- Ensure that any webhook endpoint URLs you register are secured and under your control
- Accept that API-submitted jobs consume credits from your plan on the same basis as web-interface submissions
We reserve the right to revoke API access without notice if we detect abusive, fraudulent, or policy-violating usage patterns.
7. Business Workspace Terms
Organisations using Business plans and team workspaces agree to the following additional terms:
- The workspace owner (account holder) is responsible for all activity within the workspace, including content uploaded by invited members.
- Inviting a member to your workspace grants them access to content you explicitly share with that workspace. You control what is shared; Libraryminds does not grant cross-member access beyond what you configure.
- Shared credit pools are consumed by workspace members according to workspace billing rules. The workspace owner is billed for all seat licences and credit overages.
- You are responsible for removing members who should no longer have access. Removing a member revokes their access immediately; their contributions to the workspace remain visible to the workspace owner.
- Business plans include access to the AI Meeting Bot. All meeting recording obligations in Section 5 apply equally to workspace members using this feature.
8. Subscription and Payments
Paid subscriptions are billed monthly or annually. You may cancel at any time, and you will continue to have access until the end of your billing period. The Free plan includes a one-time allowance of 190 transcription minutes. These minutes do not expire and are not renewed. Additional minutes are available through paid plans or credit purchases. Due to the nature of digital services and the free plan provided, refunds are not offered. We encourage you to fully explore the service using your free minutes before purchasing.
9. Intellectual Property
You retain all rights to your uploaded content and the transcripts, summaries, and other outputs generated from it. We do not claim ownership of your files or content. Our service — including its design, features, and underlying code — remains our intellectual property.
10. Limitation of Liability
Libraryminds is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of our services, including any damages arising from transcription errors, AI-generated inaccuracies, or service interruptions.
11. Changes to Terms
We may update these terms from time to time. We will notify you of significant changes via email or through our service. Continued use after changes constitutes acceptance of the new terms.
